Brief
Following two successful years, we once again worked with the NHS England and ConfedExpo team delivering technical production and AV for their 2025 event.
This year the brief was to deliver a high-quality production, this time for 3 parallel plenaries, 9 workshops and breakout areas. This year we designed, built and operated 8 learning theatres in the exhibition hall to accommodate for the increase in delegate attendance.
Solution
The agenda in one of the plenaries called for a step away from more traditional keynote presentations, focusing instead on collaborative panel discussions. To support this, we designed a comfortable and warm “talk show” style set using custom made set panels that mirrored the design of the exhibition hall theatres, creating a cohesive look across the different spaces. Pickle Patt lighting fixtures and festoon-style lighting, draped from the lighting bars, added warmth alongside LED tube lights. The central screen was an edgeless surface to create maximum impact, allowing the content to blend seamlessly into the background.
Custom poly logos took centre stage in both plenary sessions and were covered in wood effect vinyl to complement the rest of the design.
In the second plenary space, we installed two large LED walls stacked vertically, with the taller screen on top to display detailed scientific content and a banner style screen below hosting sponsor logos. Both matching the width of the stage. High-performance LED pixel fixtures were a key feature within the set design, tying in with the overall event aesthetic.
The 8 learning theatres in the exhibition hall each had set backdrops built from custom panels. We differentiated the theatres using coloured tube lights installed in the grooves of the panels. Standing at 4m tall, the custom backdrops housed 4m wide LED screens running presentations, with hearing loops in each space.
Again, custom logos were an integral part of the design. In the exhibition hall, we created a bespoke Confed Expo logo with a perspex backing and LED tape. The stages were trapezium shaped with custom wood effect fascias, consistent with the overall set design.
Accessibility is always an important part of the conference therefore every stage had custom ramps, hearing loops, and subtitles.
Each theatre had its own entrance with vinyl signage and portrait screens showing real time agendas.
NHS Confed host a member reception and, as always, were looking for a space that could transform from day to night. This year was no different, with a laser show and a walk around band. In support of Pride Month, the lighting and lasers were programmed in a rainbow colour scheme.
In the main breakout room, a curved LED wall stood out as the key design feature, enhancing the viewing experience and providing a more immersive and visually engaging display. The curvature improved colour accuracy by distributing light more evenly across the screen. Animated sponsor content was shown primarily on the curved LED wall, with additional content displayed on two projection screens on either side. Angled Sceptron tube lighting tied the breakout space in with the rest of the event.
In the smaller breakout rooms, we printed custom set wraps for the set panels, using curved edges to mirror the curved LED in the main breakout space. All stages again had ramps for accessibility, with a simpler control setup to suit the more streamlined sessions.
For the –45 dB sound-reduced rooms, we used TFS frames, which do not require any rear support, making the best use of the available space. Reduced-height stages allowed presenters to remain visible to the audience while adhering to height restrictions. Content was displayed on 75-inch 4K screens for crystal clear viewing and improved viewing angles.
Around the venue, 34 of our editable and sustainable LED posters were used in various configurations for sponsor displays and wayfinding signage.
Finally, we delivered over 60 separate screen orders for exhibitors and sponsors in the main expo space.
Result
The 2025 event delivered the most ambitious ConfedExpo to date, with consistently positive feedback from delegates, speakers and partners. Running 3 plenaries, 9 workshops and 8 fully-themed learning theatres in parallel required precision planning and seamless onsite delivery – something our team achieved with confidence.
The redesigned “talk-show” plenary format created a noticeably more engaging atmosphere, offering more accessible and inclusive sessions.
