Brief
Amey is a leading provider of full life-cycle engineering, operations and decarbonisation solutions for transport infrastructure and complex facilities. The event was produced to continue driving connections across Amey’s senior leadership team to promote growth within transport infrastructure, with the aim to improve on the previous events. The format of the event included a conference over two days with an informal dinner and celebrations in the evening of the first night. The conference included multiple speakers on stage at one time, with collaborative working session and Q&A sessions. Being brought into discussions with the client prior to contracting allowed us to think creatively about how we could cost-effectively transform the venue spaces from day to night.
Solution
For the daytime conference we used Charters 2&3 opening up to Charters 1-3 combined for the evening event. To deliver the ‘wow factor’ we opted to use an 8m x 3m LED wall as the focal piece for both the conference and evening event. We designed the stage and screen at a slight angle to maximise the available space, allowing the conference to run effectively within half the space. This setup supported full-screen, high-quality video content, PowerPoint presentations, and later transformed into a dynamic backdrop for the evening entertainment. During the day a digital lectern displayed the presenter names for each session with moving graphics in-between.
For the evening event, the client hired in numerous fairground games which were set in the Charter 1 space. A PA system covered the entire space, and we used our wireless LED tube Well STX to join the two spaces for a cohesive event. We also delivered twelve 55” screens for an exhibition on the second day in the Gallery. Adding more Well STX lit in brand colours in the Gallery space to mark the entrance way. The main challenge was ensuring that the room could be used for both aspects of the event, while ensuring we were able to enhance the production value for the evening event despite the tight turnaround. We had two hours to turn around the event from the daytime conference to evening party with DJ and LED dancefloor. In that time our dedicated technicians rigged additional eye-catching light fixtures including Pixel Patts and coloured wash lights. Using our green hippo media server, we played out moving graphics for the evening using the Amey logo as the hero image throughout. Co-ordinating the removal of the airwall for the set-up of the evening event was seamless helped by our strong relationship with the venue team. We supported the team plotting out where the fairground games could go negating the need to pull any additional power, utilising the existing 13amp sockets available in the room.
Result
The event was a great success. The conference provided the opportunity for senior leaders to collaborate with a few of the delegates keen to stay in the conference room after the first day of the conference. The informal evening event left the delegates feeling re-energised and excited to celebrate the success of the conference.
